Workflow and requirements mapping
The inputs, steps, responsibilities and exceptions in the process you want to improve.

Connect your tools and automate repetitive work, from enquiry acknowledgements to team notifications and follow-up. Add AI where it has a clear, defined job.
From enquiry to follow-up
Start with a business task and a useful result. We map the process, choose an appropriate approach and agree what the finished workflow must do.
The inputs, steps, responsibilities and exceptions in the process you want to improve.
The rules, connections and permitted AI tasks needed for the agreed workflow, with its boundaries written into the proposal.
The email, forms, spreadsheets, calendars, customer records or other services included after checking access and integration options.
Clear decisions about what runs automatically, what waits for your team and when a person should take over.
Approved information sources, the access required and the agreed handling of data for the workflow.
Checks of the normal process, relevant exceptions, outputs and approval steps before the workflow goes live.
A clear handover for the delivered controls, account responsibilities and day-to-day operation.
An agreed project price with relevant software subscriptions, AI usage and optional support identified separately.
An AI assistant can help answer questions, interpret information or prepare a draft. The project defines its approved sources, permitted actions and human review points. Additional channels, workflows and ongoing work are scoped separately.
Human oversight at every important step.

A customer sends an enquiry.
Automatically acknowledge a submitted enquiry and capture the details in one place.
Customers know you received their message, even while you’re busy.
Schedule approved follow-ups and stop or route them appropriately when a customer responds.
Fewer opportunities depend on you remembering to chase them.
Send reminders before appointments, with the agreed instructions for confirming or requesting changes.
Less manual reminding and clearer communication before a visit.
Use an AI chatbot to answer routine questions from your approved business information and hand over when needed.
Customers get help sooner, while your team spends less time repeating basic answers.
Categorise incoming requests by service, location or other agreed criteria and send them to the right person.
Relevant enquiries reach the right team with less sorting.
Turn enquiry details into a structured brief and draft proposal for your review.
Spend less time assembling documents and more time making the right offer.
Send welcome information, request required details and track outstanding items.
Start projects with fewer missing details and less chasing.
Trigger approved reminders from supported accounting or payment records.
Reduce manual payment follow-up and keep outstanding items visible.
Bring information from supported systems into a scheduled summary or dashboard.
Spend less time gathering figures and more time understanding what needs attention.
Help staff find answers in approved procedures, product information and business documents.
Less time searching for information or interrupting colleagues.
These are examples of work we can scope. Feasibility depends on your tools, access, data and operating requirements.
Workflow automation follows defined rules: when a form arrives, save the details, notify the team and send an acknowledgement.
An AI assistant or agent can help interpret information, classify a request, draft a response or choose among permitted actions.
A project may use both. We use fixed rules where the process is predictable and AI where interpreting language or information adds value.
Agree when a message is due, which working hours and time zone apply, and what should stop or pause the sequence. Approval controls can keep important messages with your team before anything is sent.
The level of automation is agreed before development. Pricing, commitments and other important decisions can remain subject to your approval.

Thanks, Alex. We’ve received your enquiry and will be in touch.
We agree on a practical measure before building—for example, response time, manual steps removed or time spent processing an enquiry.
Start with one defined process, test it and use the results to decide what to automate next.
Discuss your first workflowOften, yes. We check the available integrations, permissions and subscription requirements first. We confirm supported connections in the proposal.
No. Many tasks work well with straightforward rules. AI is useful when the task involves interpreting language, extracting information or drafting content. We choose the approach that fits the task.
Yes. Approval steps can be included for proposals, customer replies or other important actions. We agree on what can run automatically and what must wait for you.
AI can make mistakes. We define approved information sources, test representative questions and agree on limits and handover rules. Important outputs can require human review before use.
Only the access and data needed for the agreed workflow should be provided. Before implementation, we identify the connected services, permissions and where information is processed or stored.
The price depends on the number of steps, integrations, data preparation, AI requirements and testing. Your proposal separates the build cost from relevant software and usage fees.
Some third-party tools charge recurring subscriptions or usage fees. We identify these before you commit. Ongoing work by MakoBooking is optional and quoted separately.
A provider update, expired access or changed business process can affect a workflow. Maintenance responsibilities and any optional support are defined in the proposal. Updates caused by later third-party changes are scoped separately.
No fixed result is guaranteed. We define the intended improvement, test the workflow and compare actual performance against the agreed measure.
MakoBooking provides a scoped implementation service. We review your process, configure or build the agreed workflow, test it and hand over its operating guidance. The solution may use existing software or a custom component. Any ongoing management is optional and quoted separately.
The right channel depends on where your customers contact you and what the assistant needs to do. We assess website chat, LINE, Facebook or another requested channel against supported integrations, account access and operating costs. Each included channel, language, action and human handover route is specified in the proposal.
Choose a frequent task with clear inputs and a useful result, such as acknowledging enquiries, preparing a brief, routing requests or summarising information. We review the process and start with a defined workflow. More complex inventory, sales or operational systems need their own assessment before we recommend an implementation.
Tell us which task takes up your time, what tools you use and what you want to happen instead.
